Directions/Swimmer & Equipment Drop-Off and Parking

**There will be VERY limited parking in the Dulles Farms Clubhouse parking lot. Our parking marshals will close off the parking lot when it is full. There will be four marked, reserved, assigned spaces per team (coaches, equipment set-up, etc.)

Handicap parking is located in front of the clubhouse. Please note once the parking lot is full, this means the handicap parking spaces will also be inaccessible.

We are asking everyone to enter the Virginia Manor neighborhood from Gum Spring Road, near Buffalo Trail Elementary (see map below) so that we can have a safe and efficient swimmer drop off area.

The drop-off area is located on Lennox Hale Drive. You MUST drop your swimmer off on the side of the road closest to the parking lot, where they will exit the passenger side of the car. Swimmers will not be allowed to cross the road. Following the directions above will allow for a safe drop-off.

Please be prepared to execute an efficient drop-off and clear your vehicle from this area as quickly as possible. Also, as part of the effort to minimize traffic on Lennox Hale, we recommend carpooling for drop-offs. Please allow yourself extra time to drop-off and park.

Team Areas

Please refer to the map below for placement of your team during the meet. A portion of the clubhouse parking lot will be designated as team areas. These areas are for swimmers and their families. Families may report to the pool deck to watch their swimmer(s), but then must leave the pool deck immediately after the completion of the race.

There is NO SHADE in these areas, so plan to bring tents accordingly.

We ask each of our Guest Teams to please maintain their general areas, i.e. place garbage in the provided bins and generally keep their respective areas neat.

Pool Deck

There is limited standing room only viewing from the pool deck and on the upper clubhouse deck. Spectators should time their arrival on the pool deck to align with their swimmer’s approximate swim time. The pool deck entrance is on the side of the pool nearest the playground. Follow signs for the spectator viewing area. Upon completion of your child’s swim, please exit the pool deck back towards the team area in a timely manner. NO CHAIRS are permitted on the pool deck, the clubhouse deck, or the sidewalk/path outside the fence. Feel free to set-up in the grass.

Restrooms

Restrooms for visitors/families are located in the upper portion of the clubhouse. The bathrooms accessible from the pool deck are ONLY for the use of coaches, volunteers and swimmers.

Concessions

We will run full concessions service with CFA sandwiches, Anita’s burritos, drinks (Gatorade, PRIME, water, coffee, soda) and snacks (candy and other treats). We will take cash and Venmo (@dullesfarms).

We will be hosting a 50/50 raffle.

Clerk of Course

Clerk of Course Stage 1 will be set up adjacent to the tennis courts in the parking lot. Each team is responsible for bringing their swimmers to this area in order to be lined up, and for providing enough clerks they feel are necessary for their team.

Clerks will then bring all swimmers for each event to the Clerk of Course Stage 2 inside the pool deck via the gate on that side. Please have one team clerk remain at this staging area to make sure your swimmers are all accounted for. See map below.

Once all swimmers for an event (example: ALL 7&8 Girls Freestyle) are in the staging area, a Clerk from Dulles Farms will get them in order by heat on chairs.

Traffic flow will be in ONE direction on deck.

Once swimmers have finished their event, they will exit the pool and follow along the back fence to the exit gate nearest the playground and return to their Team Area.

Briefings

Officials – THANK YOU for volunteering your time and talents to ensure that every heat in every event is run according to the rules and that the playing field, in this case legal strokes, is fair for all swimmers. We will hold an Official’s briefing at 7:30 a.m. in the far corner of the pool. Please be dressed and ready to officiate.

Timers – THANK YOU for volunteering to help collect accurate times for our swimmers. We will hold a timer’s briefing at 7:40 a.m. at the far side of the pool. At that time we will review timing procedures, assignments and watch operations.

Ribbons/Medals Table

Production of Divisionals award medals and ribbons will be underway during the course of the meet. The Ribbons and Medals Area will be located in the upper level of the clubhouse. We would like for each Team to identify a Ribbon/Medals Volunteer to assist with the labeling for your team.

Warm-Up Schedule

The pool will be used for warm-ups before the meet for freestyle and backstroke events ONLY. Warm-up times and lanes were assigned based on travel distance and number of swimmers.

Teams should enter and exit the pool deck promptly at their assigned warm-up times. Each team will have 15 minutes.

FIRST HALF 7:00a - 7:15a 7:15a - 7:30a 7:30a - 7:45a
Broadlands * all lanes
Dulles Farm * all lanes
Exeter * lanes 1-3
Ida Lee * lanes 4-6

Swimmers competing in Breaststroke, Butterfly and Individual Medley events (2nd half) will have a 10 minute warm-up period after the Backstroke events have finished. We will use this time to switch to second half volunteers. See lane assignments below.

SECOND HALF Session #1 (10 min) Session #2 (10 min)
Broadlands * 4 lanes
Dulles Farm * 3 lanes
Exeter * 2 lanes
Ida Lee * 3 lanes

Meet Conclusion/Clean-Up

We have been fortunate that the Dulles Farms HOA gave us permission to host the Divisionals Meet this year. With that in mind, we would appreciate it if each Team could make sure that their area is cleaned up “as you found it”. Ribbons and medals will be distributed once these areas are clean.

Lost and Found

Any found items may be delivered to the area where the medal table is located.

Parking

Parking is always tricky for us, but the Brambleton HOA has added to the challenge this season by closing the lower half of the Community Center parking lot to stage some construction equipment. We have also closed a portion of the upper lot to allow for potential ingress/egress of emergency equipment. There will be a line of cones across the parking lot toward the upper end – please do not go past them. Event Parking is first-come, first serve in the remainder of the lot at the Community Center. Please note the handicapped spots and observe them appropriately. Any overflow parking is directed to the indicated “Street Parking” areas in green below. Please note only park on the sides of the streets noted in the below graphic. We will have parking officials.

Restrooms

Restrooms are located on the ground floor of the Community Center clubhouse – note “Restrooms” on the pool deck diagram below. Please enter the restrooms where indicated on the diagram at the starting end of the pool, i.e. the computer table end.

Concessions

The Betta Bistro concessions tent will be open as early as possible near the pool entrance near the parking lot (see diagram). We will be serving food at the meet, with both pizza and Chick-fil-a sandwiches available, and of course the usual swim meet snacks, candy and Gatorade! CASH ONLY!

Team and Spectator seating

We have set up a great area for our visiting team guests just down the path past the end of the parking lot - see “Away Team Area (Tents)” on the diagram below. We understand that parents want to watch their swimmers compete, so we ask that you come onto the pool deck just before their respective events, and then please exit the pool deck at the completion of their swims. Prior to departing at the end of the meet, we ask that you please collect any trash that may have accumulated during the course of the meet. Please follow any instructions of Betta volunteers if requested.

Volunteer info

  • Volunteers, please make sure you sign in when you arrive so that you get credit for your hours!
  • All timers please report to the pool deck at 5:00 pm for an instruction meeting and to receive your lane assignments.
